Booking Conditions

Booking & Confirmation

A booking is considered confirmed upon receipt of the required deposit and written confirmation from Sankalp Tours & Travels. A deposit amount, as specified in your travel proposal, is required to secure your reservation. The remaining balance must be paid no later than 60 days prior to the departure date unless otherwise stated. Bookings made within 60 days of departure may require full payment at the time of confirmation.

Payment Terms

Payments may be made via bank transfer or other approved payment methods. We accept payments in INR, USD, GBP, and EUR. Any bank charges, transaction fees, or international transfer costs are the responsibility of the traveler. Prices quoted are subject to availability and currency fluctuations until confirmed in writing.

Cancellation & Refund Policy

All cancellation requests must be submitted in writing. Refunds, where applicable, will be processed according to the following schedule:

• More than 90 days before departure: Full refund minus non-recoverable costs
• 89-60 days before departure: 50% of tour cost refunded
• 59-30 days before departure: 25% of tour cost refunded
• Less than 30 days before departure: No refund
• Certain hotels, flights, permits, and special services may be non-refundable
• Force majeure events, including natural disasters, political unrest, pandemics, or government restrictions, may be subject to separate terms and supplier policies

Travel Insurance

We strongly recommend that all travelers obtain comprehensive travel insurance before departure. Your policy should ideally cover:

• Trip cancellation or interruption
• Medical emergencies
• Emergency evacuation and repatriation
• Personal accident coverage
• Loss or delay of baggage and personal belongings

Sankalp Tours & Travels is not responsible for costs that could have been covered through adequate travel insurance.

Visa & Documentation

Travelers are solely responsible for ensuring they possess a valid passport, required visas and permits, health certificates or vaccination records where applicable, and any additional documentation required by destination authorities. While we may provide assistance and guidance, visa approval remains entirely at the discretion of the relevant authorities.

Health & Safety

Certain journeys may involve physical activity, remote locations, or challenging conditions. Travelers must inform us of any relevant medical conditions, disabilities, allergies, or dietary requirements at the time of booking, carry sufficient personal medication for the duration of the trip, and ensure they are physically fit to participate in the selected itinerary. Sankalp Tours & Travels reserves the right to decline participation where health or safety concerns may affect the traveler or the group.

Itinerary Changes

While every effort is made to operate itineraries as planned, circumstances beyond our control may require modifications — including weather conditions, government regulations, transportation disruptions, safety concerns, or operational requirements. In such situations, we will endeavor to provide suitable alternatives of comparable value whenever possible.

Responsibility & Liability

Sankalp Tours & Travels acts as an intermediary for airlines, hotels, transport providers, guides, and other service suppliers. We shall not be held liable for delays, cancellations, or schedule changes by third-party providers; loss, theft, or damage to personal belongings; injury, illness, accident, or death arising from circumstances beyond our reasonable control; or acts of nature, force majeure events, government actions, or unforeseen disruptions. Participation in travel activities is undertaken at the traveler's own risk.

Conduct During Travel

Travelers are expected to conduct themselves responsibly and respectfully throughout the journey. We reserve the right to remove any participant whose behavior endangers themselves or others, violates local laws or regulations, or disrupts the experience of fellow travelers. Any resulting costs shall be borne by the traveler concerned.

Acceptance of Terms

By confirming a booking and making payment, the traveler acknowledges that they have read, understood, and accepted these Booking Conditions in full.
